    Software asset management

    Our cost-effective software asset management services support the teaching, learning, research and administrative functions of the University.

    We collaborate with clients, suppliers, industry representatives and other Australian and New Zealand tertiary institutions.

    What we do:

    • manage software licence contract management, including revision and renewals

    • administer, coordinate and collaborate in agreements across the University and in association with other institutions and CAUDIT

    • provide advice with regards to software compliance for site licence agreements

    • procure software licenses and vendor management

    • manage electronic and physical installation media, including software disposal

    • maintain software deployment records

    • manage software licence keys.

    Answer

    iLab cores are highly encouraged to request external researchers or commercial users to register as externals on iLab when accessing Griffith's iLab cores services. By following this best practice, iLab cores are maintaining high data integrity and improving data audit for external income.

    Introduction

    Best practice for managing your EndNote library is to:

    • maintain one library
    • save the library on your hard drive
    • compress library
    • sync library.

    Instructions

    Maintain an EndNote library

    We recommend using groups to organise different projects instead of creating multiple libraries, especially if you sync your library to share and back it up.

    Refer to the Manage your library: Groups chapter of the EndNote basics tutorial for more information.

     

    Save an EndNote library on your hard drive

    We recommend avoiding saving your library on a cloud drive such as OneDrive, Dropbox or a USB to reduce the chances of corruption. Best practice to save your library:

    1. Create an EndNote folder on the C:Drive (or MacDrive).
    2. Save your library in the EndNote folder to ensure the two files are kept together.

     

    Move an EndNote library

    1. If you need to move your EndNote library, make sure EndNote is closed.
    2. Transfer both files.
      1. IMPORTANT: Both EndNote files must be kept together for it to work.
    3. Open EndNote by double clicking the .enl file to allow EndNote to find the location of the files.

    Compress an EndNote library 

    Compressing your EndNote library creates a file backup of your library.

    1. Navigate to the main menu.
    2. Select Compress library (.enlx) to create a backup of your library or a stable version that can be shared via email.

    3. When opening a compressed file, it will recreate the .enl and .data file in the same place the compressed file is situated.

    How to sync an EndNote library 

    Syncing your library creates an online backup of your library and allows you to share your library:

    1. Create an EndNote online account.
    2. Choose Sync to back up your current references in cloud storage.
    3. Enter your EndNote online login details if prompted.
    4. Navigate to Edit > Preferences > Sync to update details if needed.

    Software in the cloud

    Have you seen an online application or service that can help your teaching, research, project or daily work? Perhaps you have a colleague at another institution that has recommended a great tool they have access to online?

    Before you start using an online application or service, we need to ensure that it is safe and secure and won't put Griffith at risk. Online applications sit outside of Griffith University's control, and don't have the same guarantee of accountability that applies to internally hosted applications

    Any online application or service must follow a review process. This process exists to ensure the service doesn't get "stopped at the gate" by security, legal or other concerns just before you start using it (or, even worse when it's in use).

    Get access to software / online applications

    Home use software

    • This software is accessible through your Griffith student account via SharePoint.

    • Student accounts cannot access staff entitlements, and staff accounts cannot access student entitlements.

    Available software for students includes:

    • do PDF

    • EndNote

    • Leximancer

    • NVivo

    • SAS

    • SPSS and Amos (Vendor-discounted software).

    Access the Student Home Use Software Library

    Adobe product access

    Changes have been made that automatically permit active staff to access the Adobe Creative Cloud software. This means that you no longer need to submit a Software Request to have the software installed on your work or home device. It also means that new staff are automatically given access, and leaving staff are automatically removed.

    Lab teaching software

    The software applications available within computer labs, lecture theatres and seminar rooms are managed by Digital Solutions.

    • Add a new software application

    • Update an existing software application

    • Remove an existing software application

    • You can also register as a stakeholder for an existing application.
